Avoid Steel Ordering Mistakes
Steel buyers are under constant pressure to move fast to meet project deadlines. When production schedules are tight and lead times are unpredictable, one delayed material order can impact an entire operation. Yet many delays don’t come from mill backlogs or transportation issues, they come from preventable steel ordering mistakes made early in the purchasing process.
In the industrial steel ordering process, small gaps in information can lead to major slowdowns. Missing specifications, unclear requirements, or assumptions about standards force distributors to pause, clarify, or re-quote orders. Below, we discuss the most common steel purchasing mistakes and how to avoid them, so you can streamline your purchasing process and mitigate incorrect quotes.
3 Common Steel Ordering Mistakes Buyers Make
1. Missing Material Specifications
One of the most frequent steel ordering mistakes is incomplete material specifications. Without key dimensions, steel type, grades, or ASTM specifications, distributors must stop and request clarification, delaying the quote and the order itself.
2. Unclear Tolerances Or End Use
Tolerance requirements are an essential piece of information for correct steel orders. Failing to specify cut tolerances, straightness requirements, or end use can result in material that technically meets the order, but doesn’t meet the final application.
For example, structural steel used for general fabrication may have very different tolerance expectations than steel used in precision machining or pressure-rated systems. Without clear end-use information, distributors may quote material that later proves unsuitable, forcing reorders and production delays.
3. Incomplete Certification Requirements
Certifications are another common source of delay. Buyers may forget to specify whether mill test reports (MTRs), DFARS compliance, domestic-only material, or specific certifications are required. If these requirements surface after material has already been sourced, the distributor may need to restart the procurement process entirely, lengthening the turnaround time and possibly increasing costs.
How Incorrect Specs Impact Steel Orders
Steel specification errors directly impact cost and availability. When material distributors receive incomplete information, they may quote conservatively or delay quoting altogether. This often results in longer lead times and higher pricing to account for unknowns.
Incorrect or missing specs can also limit availability. A small change in wall size, grade, or ASTM requirements may push an order from available inventory into mill-order territory, adding weeks to the delivery timeline. In some cases, material may need to be reprocessed, recut, or returned, creating additional costs and lead time.
What Information Steel Distributors Need To Quote Accurately The First Time
Providing complete and accurate information upfront is the most effective way to avoid order delays. For Boyer Steel to quote correctly, customers need to supply two of the following dimensions for tubing orders: outside diameter (OD), inside diameter (ID), or wall size. If the material is pipe, the following are required: pipe size and schedule or two of the following dimensions: OD, ID, or wall size.
In addition to dimensions, steel distributors need the following information to correctly complete purchasing orders:
- Steel type
- Grade
- ASTM specification
- If full lengths or cut pieces are needed
- If cut: the lengths in inches and cut tolerances are required. Boyer Steel’s standard is +0.125″ / -0.00″
- If cut: the number of pieces
- If full lengths: the number of lengths or total footage (total weight is also acceptable)
- If cut: the lengths in inches and cut tolerances are required. Boyer Steel’s standard is +0.125″ / -0.00″
- Shipping method (ex: customer pickup or delivery)
- If delivered: Delivery address
- If delivered: Delivery address
- Compliance requirements (DFARS-compliant, domestic-only, or import acceptable)
- Any additional special requirements
Providing this information upfront eliminates guesswork, reduces back-and-forth communication, and allows distributors to provide accurate quotes and determine lead times.
Boyer Steel Is Your Experienced Steel Distributor
Knowledgeable steel distributors review specifications, ask clarifying questions early, and flag potential steel specification errors before material is ordered. An experienced distributor like Boyer Steel understands the importance of steel grades, tolerances, certifications, and end use, and how small oversights in the ordering process can become large problems later. By guiding customers through the industrial steel ordering process, the Boyer Steel team mitigates reorders, reduces downtime, and meets customer timelines.
